Migrating years of contact history into GoHighLevel without losing it
A business with several years of contact history and campaign data in a legacy platform needed to move to GoHighLevel, but had put off the switch specifically over fear of losing that history.
This is an illustrative project pattern describing a common situation and our approach to it — not a named client case study, and not a claim of specific results for a real customer.
What was going on
- Years of tags, notes and segmentation existed in the old platform, much of it not obviously mappable to GHL's structure.
- Several active campaigns needed to keep running through the transition, with no acceptable gap in coverage.
- A previous attempt at a bulk export/import had already gone wrong once, adding to the reluctance to try again.
What we did
Mapped the full data structure
Every field, tag and segment in the old platform was documented and matched to a GHL equivalent before any data moved.
Migrated in verified stages
Data moved in batches with record-count verification at each step, rather than one irreversible bulk import.
Rebuilt active campaigns natively
Rather than attempting a like-for-like import, active automations were rebuilt directly in GHL's workflow builder and tested before cutover.
What changed
- Contact history, tags and notes carried over intact
- No gap in active campaign coverage during the transition
- A defined cutover date instead of an indefinite parallel-running period
